This policy explains what information we collect when you use this website or submit a request through one of its forms, why we collect it, who it is shared with, and the choices available to you. It applies alongside our Terms & Conditions.
Scope of this policy
This policy covers the shazmlc.com website and the request forms published on it. It does not cover the separate websites of other companies in the group, which publish their own policies, or any engagement letter or written agreement you may later sign with us — where such an agreement addresses confidentiality or data handling, that agreement takes precedence for the matter it covers.
Who controls your information
The forms on this website are submitted to different companies within the group, depending on the service requested. The company named in the legal notice at the foot of the form you complete is the entity responsible for that submission.
These entities include SHAZMLC Legal Consultancy FZC LLC, Sheikh Abdulaziz bin Abdullah Al Mualla General Consultations, Sheikh Abdulaziz bin Abdullah Al Mualla AI Consultancy and Research FZC LLC, KIB Financing LLC, KIB Trading LLC, KIB Businessmen Services LLC and KIB Claims Settlement Services LLC.
Information we collect
We collect what you enter into a form and what you attach to it. Depending on the form, this may include your name, your company, your email address, your telephone number, your client category, the nature and value of the matter, and any notes, links or documents you choose to provide.
We also record limited technical information. Your IP address is read from the request in order to apply rate limits and reduce automated abuse. Where a request passes through our contact endpoint, a Google reCAPTCHA check is performed to distinguish human submissions from automated ones.
If you sign in to the client or administrative portal, a session cookie is set so that you remain signed in. This cookie is required for those areas to function and is not used for advertising or tracking across other websites.
Why we use your information
We use the information you provide to review and assess your request, to contact you about it, to prepare any proposal or scope of work that follows, and to meet our internal compliance and record-keeping obligations.
Each submission is assigned a reference number so that you and we can identify it in later correspondence. Where you supply an email address, a confirmation containing that reference is sent to you automatically.
We do not use your information to build advertising profiles, and we do not sell it.
Confidentiality
All data and documents submitted through this website are treated as confidential and are used only for the purposes of reviewing your request and communicating with you about it, in line with the notice shown on every form.
Access within the group is limited to the personnel handling your matter and to the administrative staff responsible for routing and reviewing incoming requests.
Who we share information with
We do not sell your information and we do not share it with third parties for their own marketing purposes.
We do rely on a small number of service providers to operate this website, and information necessarily passes through them. These are: our database and hosting infrastructure, which stores submissions; our email provider, which delivers confirmations to you and notifications to us; and Google reCAPTCHA, which performs the automated-abuse check described above and is governed by Google's own privacy policy and terms of service.
We may also disclose information where we are required to do so by law, by a competent authority, or by an applicable regulatory or anti-money-laundering obligation.
How long we keep information
Submissions and their attachments are retained for as long as needed to assess the request and, where an engagement follows, for the duration of that engagement and for the period afterwards required by applicable law, professional obligations and our internal record-keeping policy.
Where a request does not proceed, we keep a limited record of it — including its reference number and the fact of the assessment — so that we can identify conflicts and answer later queries about it.
Security
Submitted files are stored under randomly generated names rather than the name you uploaded them under, and access to the administrative area is protected by authentication.
No method of transmission or storage is completely secure. Please do not send highly sensitive material through a web form when a more secure channel is appropriate; if you are unsure, contact us first and we will tell you how to send it.
Your rights
You may ask us what information we hold about you, ask us to correct information that is inaccurate, ask us to delete information, or withdraw a consent you previously gave. Withdrawing consent does not affect anything done before you withdrew it.
Some of these rights are qualified. We may need to retain certain records in order to meet a legal, regulatory or professional obligation, and we may ask you to verify your identity before acting on a request.
To exercise any of these rights, contact us using the details at the end of this page.
Cookies and similar technologies
This website does not use advertising or cross-site tracking cookies.
A session cookie is set when you sign in to the client or administrative portal, and is removed when you sign out. Google reCAPTCHA sets its own cookies when it runs, in order to perform its abuse check.
International transfers
Our service providers may process information outside the United Arab Emirates. Where that happens, we take reasonable steps to ensure the information continues to be protected to a standard consistent with this policy.
Changes to this policy
We may update this policy to reflect changes to our practices or to legal requirements. The date at the top of this page shows when it was last revised. Material changes will be reflected here, and your continued use of the website after they are published constitutes acceptance of the revised policy.
